Use cases

Different sectors. One discipline.

The vocabulary changes from a mill to a hotel. The method does not: capture the work where it happens, show it live, and put the decision in front of the right person with the reasoning attached. We tailor the system to the problem, never the other way round.

Industry

Plants and mills record everything and see little of it in time. Station sheets, weighbridge tickets and spreadsheets carry the most important figures, and management receives them days or weeks later.

Industry · 01 · Finance and control

A finance and control analyst who works like a colleague, not an application.

For an agro-industrial group with several sites and a listed parent, the management accounts, weighbridge activity, supplier payments and approvals live in the ERP. Getting an answer meant asking finance, waiting for an extract and reconciling it by hand. Control checks were periodic and manual.

SituationQuestions asked in the executive group chat, answered days later from spreadsheet extracts. Fraud-risk checks run occasionally, by hand, by whoever had time.
What we builtA nightly read-only mirror of the ERP into a secured analysis environment, and an analyst that lives in the executive team's Telegram group as a member of it.
How it worksExecutives ask in plain language: the period, the question, the decision. The analyst answers with figures, sources, a data cutoff and stated uncertainty, as a message or as a Word, Excel or PDF document.
ScheduledA daily operations and risk report each morning. A weekly pace report against the seasonal target. Recurring control checks whose exceptions arrive as leads for review, not accusations.
ControlsWorks on a copy, never on production. The database login is verified read-only before every run. Reports are approved in the group before anything circulates further.
LanguagesEnglish and French, in the same group.
  • Evidence, cutoff and assumptions stated on every material claim.
  • The team keeps the decision, the approval and the distribution.

Industry · 02 · Cashew processing

A cashew plant that captures every kilogram, at every station.

Côte d'Ivoire grows more cashew than any other country and exports most of it raw. Processors who add value locally compete with Vietnam and India on conversion cost and consistency. Even a modern automated line sends twenty to thirty per cent of its kernels to manual finishing, and the whole line still runs on paper.

The challengeTen stations from raw nut reception to export, each writing lot number, weight in, weight out and loss on a sheet. Sheets re-typed into spreadsheets. Kernel outturn per lot unknown until the season closes. Work in progress valued by estimate.
Where it bitesManual peeling is paid by the kilogram. The paper tally is the payroll, the productivity record and the yield figure at once, and it cannot be reconciled against a scale in time.
What we buildCapture at every station: tablet, scale and lot or operator code where the hardware exists, photographed sheets read and checked where it does not. A lot-level mass balance from reception to container.
VisibilityLive views for the plant manager, the finance director and the board: production against plan, yield and loss by station, grade mix against budget, cost per kilogram, operator productivity, export pipeline.
Payroll and traceabilityPiece-rate pay computed from the same record the yield comes from. Each carton traceable to its lot, its stations and its operators, as food-safety certification expects.
SystemsRuns alongside the accounting system. The database and its history belong to the plant.

Hospitality

Hotels, resorts and members' clubs run on repeatable processes and decisions taken without the full set of inputs. We tailor the back office to the way the business works, and put the market in front of the rate decision.

Hospitality · 03 · Coworking and members' clubs

A back office tailored to the way the club works.

A members' club in Abidjan ran on a subscription back office built for a different operating model. The team used a tenth of it, worked around the rest in spreadsheets, and paid for all of it.

What we foundReception, sales and accounting each kept their own sheets. Offers, proformas and contracts were drafted by hand. Leads were registered twice and copied from sheet to sheet.
What we builtOne platform tailored to those workflows, in French and in local currency: leads, offers and proformas from the price list, contracts and memberships, check-in and live occupancy, invoicing, dashboards. Tested by the three teams before go-live.
The websiteRebuilt on the same infrastructure. Every enquiry lands in the platform, tagged with the offer and the page it came from, for the general manager and sales director to route in one step.
What changedAn offer in minutes. One record from enquiry to invoice. Occupancy and revenue visible without a month-end exercise. The subscription to the old platform was cancelled.

Your yield process, with the inputs you could never hold at once.

Revenue managers already have a process: the morning rate check, the weekly meeting, the owner call. We keep it. What changes is what is on the desk before each step, and how much of the gathering the team still does by hand.

TodayRates set each morning from yesterday's pickup and a few shopped competitor screens. The weekly meeting runs on a spreadsheet built the night before.
AugmentedPickup and pace against last year, comp-set moves by channel, events, forward demand, cancellations and channel cost, assembled before the revenue manager sits down.
RecommendationPer room type and stay date, with the signals that moved it and its cost in occupancy. Restrictions where warranted.
DecisionThe revenue manager approves, adjusts or overrides. Every override is logged with its reason and reviewed against outcome.
FitAlongside your revenue management system, or as the yield layer for a property running on a channel manager and a spreadsheet. Owner reporting reconciled to the ledger from the same data.

First step

Bring us the process. We build the system.

Tell us which part of the operation you cannot see clearly, or which decision you want better inputs for. We map the process, design the system around it, and put it to work in weeks.
